The Colorado Human Resource Association’s Conference Planning Committee invites HR practitioners and corporate partners to share knowledge and expertise with their colleagues at the CHRA 2011 Human Resources Conference.

2011 CHRA Conference Committee Descriptions and Volunteer Opportunities
Are you looking for an opportunity to expand or enhance your leadership skills? Would you like to meet other human resource professionals and be an integral part of the 2011 CHRA Human Resources Conference? We have the opportunity for you.
Conference Overview
The CHRA Human Resources Conference is CHRA’s biggest event each year – both for professional development and fundraising to support the association’s good work throughout the year. The 2011 HR Conference will be held at INVESCO Field at Mile High on Friday, January 21, 2011. Turnout for the 2010 conference exceeded 300 attendees and nearly 500 HR industry-related professionals with even higher hopes for 2011. The conference is a full day event comprising exceptional speakers proficient in HR related topics, HR providers, and networking opportunities with other HR professionals.
The HR Conference is developed by the HR Conference Planning Committee. Included below is a brief description of the committees and volunteer opportunities available for the 2011 CHRA Human Resource Conference. Volunteer positions differ in their level of commitment from a few hours the actual day of the conference to on-going responsibilities for the duration of the conference life cycle. Please consider the time commitment and your employer support when accepting a volunteer position as some volunteer opportunities may require meeting and/or performing other tasks during business hours. It is our goal to offer opportunities to accommodate any schedule and desired level of involvement. If you have questions regarding the duties/time commitment etc. of a particular volunteer position, please feel free to contact the respective Chair directly. To formally express interest in a particular volunteer opportunity, please complete the Volunteer Interest Form located at the end of this page and return to Bonita Sonderby, Human Capital Chair via email to bonita.sonderby@watermillexpress.com or via fax to 303-942-4252.
Program Committee
This committee is charged with achieving high quality speakers that will be the major draw to attendees.
Keynote Speaker Acquisition (1)
• Secure Keynote speakers for the conference. The 2011 Conference, we are looking for two Keynote speakers.
• Brainstorm a list of potential speakers and review with Program Committee.
• Make final recommendations for Keynote Speakers to Program Committee. Final selection will be made by Leadership Committee.
• Contact the selected keynote speakers and confirm dates. Maintain periodic contact with Keynote speakers during the time leading up to the conference.
• Obtain biography and other promotional materials from the keynote speakers.
• Assure keynote speaker logistics for the conference.
• Design communication with CHRA to include, Advisor articles, eblasts, or other social media channels and other relevant Conference Committees.
• Attend bimonthly Program Committee Meetings.
• Attend monthly membership meetings and other CHRA events to promote the conference.
Concurrent Session Speaker Acquisition (2)
• Secure concurrent session speakers for the conference.
• Review RFP form and make recommended changes to the Program Committee.
• Establish process for distributing and receiving RFPs to potential speaker pool. Review with Program Committee.
• Present final RFP draft and distribution process to Program Committee.
• Present final RFP and distribution process to the Leadership Committee. Final RFP format approved by Leadership Committee.
• Launch RFP process.
• Receive and record RFPs. Present complete list to Program Committee.
• Assist Leadership Committee with the selections process of concurrent speakers.
• Contact selected concurrent session speakers and confirm attendance. Maintain periodic contact with concurrent speakers during the time leading up to the conference.
• Communicate with speakers not selected.
• Obtain biography and other promotional materials from the keynote speakers.
• Assure concurrent speaker logistics for the conference.
• Design communication with CHRA to include, Advisor articles, eblasts, or other social media channels and other relevant Conference Committees.
• Attend bimonthly Program Committee Meetings
• Attend monthly membership meetings and other CHRA events to promote the conference.
Senior Practitioner Event (2)
• Make recommendations to the Program Committee for Senior Practitioner events to include schedule of the events .ie. breakfast, lunch, concurrent sessions, tracks, etc.).
• Work with Keynote Speaker and Concurrent Speaker group to identify Senior Practitioner speakers. Present list to Program Committee.
• Assure Senior Practitioner logistics for the conference.
• Host the Senior Practitioner Event at the conference.
• Coordinate with Exhibit Committee for sponsorship of the Senior Practitioner Event.
• Design communication with CHRA to include, Advisor articles, eblasts, or other social media channels and other relevant Conference Committees.
• Contact selected Senior Practitioner speakers and confirm attendance. Maintain periodic contact with concurrent speakers during the time leading up to the conference.
• Attend bimonthly Program Committee Meetings
• Attend monthly membership meetings and other CHRA events to promote the conference.
Marketing Committee
The overall success of the conference depends on the outreach success and publicity that it receives prior to the conference. This committee will work closely with CHRA staff and the CHRA Marketing Director to ensure that proper branding of the conference takes place. This committee handles all aspects of marketing the conference from identifying marketing target communities, creating a marketing vision and message roll-out strategy to designing and distributing all marketing materials.
Social Media Manager (1)
• Work closely with CHRA to post updates to the conference webpage
• Create, manage and distribute all content posted to Twitter, Facebook, LinkedIn and other mediums of social marketing to optimize conference exposure
• Design Eblasts and liaise with CHRA for inclusion and mass distribution
• Construct a calendar for social media updates and submit to Marketing Committee Chair
Conference Outreach Manager (2)
• Coordinate all outreach efforts to promote the conference to include the following, but not limited to:
• Other associations (ex. 530 Inc., Mountain States Employers Council, ASTD etc.)
• COSHRM
• SHRM
• CHRA, PDGs, MMPs
• Companies
• Employment Agencies
• Universities and Student Chapters
• Senior Practitioner Forums
• Construct a calendar for outreach efforts and submit to Marketing Committee Chair
• Manage the distribution of flyers, giveaways, presence and conference announcements to the above entities
• Create content and work closely with CHRA Marketing Director to initiate Press Releases
Print Publicity Manager (1)
• Provide content and design instructions/suggestions to the Marketing Committee Chair and Graphic Designer for the construction of:
• Table Tent to be displayed at Monthly Member Programs
• Table Tent at Conference
• General Postcard
• Senior Practitioner Postcard/Invitation
• Conference Flyer
• Signage
• Name Badges
• Conference Program
• Exhibitor game cards
• Provide content and design instructions/suggestions to CHRA for the construction of:
• Monthly MMP Reminder Cards
Advisor Liaison (1)
• Create content promoting conference for inclusion in the Advisor newsletter each month of the conference lifecycle (approximately 9 months)
• Create content and design for Special Pullout Section of Advisor
• In conjunction with Graphic Designer
• Work closely with Graphic Designer’s deadlines to meet content requirements
• Edit Advisor content that promotes conference
Human Capital Committee
This committee Identifies volunteer needs across the Planning Committees and assigns volunteers. It handles logistics for conference attendee flow and coordinates registration set up area, name badge arrangement, and stuffing attendee bags with materials provided by sponsors/advertisers.
Registration Volunteers
• Serve as the first point of contact for attendees to the conference
• Help facilitate a smooth entry into the conference by handing out attendee packets/bags and nametags and providing directions to main conference area.
• Check in attendees
• Hand out packets
• Take onsite payments (if necessary)
• Offer general information and directions
Room Volunteers
• Responsible for monitoring the room to ensure compliance with fire code regulations (maximum occupants).
• Hand out materials that may be needed for the presentation.
• Ensure that all signs are correct for the breakout sessions and change as necessary if the room is used for more than one.
• Provide general directions to attendees for breakout sessions.
• Work with facility personnel to ensure all audio visual equipment works properly.
• Monitor room
• Ensure room signage is correct
• Direct traffic
• Ensure room equipment works properly
Speaker Volunteers
• Serve as personal assistants to their assigned speaker during their assigned session
• Ensure speakers have needed items to present their session.
• Serve as liaisons between the speakers and the room volunteers to ensure equipment works properly
• Assist keynote and breakout session speakers
• Coordinate speaker requests with Room Volunteers
Set-Up/Food Volunteers
• Help with setting up the venue to have easy access on the day of the conference.
• Ensure that the conference areas are set up properly and conference signage is in place as needed
• Help set up and ensure that the meals can start per the scheduled time.
• Direct attendee traffic flow through food lines and help attendees stay on schedule for sessions.
• Keep food lines moving and providing scheduling information if needed.
Exhibitor Committee
This committee plays a critical role in enhancing the HR practitioners’ experience via access to leading HR service provider companies. Additionally, the committee builds strong relations with the service provider community for CHRA - playing a key role in the financial success of the conference and association as a whole.
Previous Exhibitor Outreach Manager
• Responsible for recruiting previous resource providers to exhibit at and sponsor the conference.
• Create and implement a seniority system for Exhibitor booth placement
New Exhibitor Outreach Manager (2)
• Responsible for recruiting new resource providers to exhibit at and sponsor the conference.
Exhibitor Prospectus Manager
• Update, modify and/or create the 2011 Conference Exhibitor Prospectus
• Ensure the Prospectus is appropriately distributed
• Design and implement a system for signing Exhibitors up for the next year’s conference at the current year’s conference
Signed Exhibitor Coordination Manager
• Track Exhibitors signed and sponsorships
• Ensure Marketing Committee receives all Exhibitor/Sponsorship logos to include in marketing materials
• Coordinate all conference giveaways
• Work with the Book Store regarding book selection, promotion and placement
• Coordinate with Exhibitors for items to be placed in bags and on tables
• Outreach to SHRM Foundation, COSHRM, and NGOs for inclusion in the conference
On-site Exhibitor Logistics Manager
• Design and distribute a packet for signed Exhibitors that have tips on a successful conference
• Handle Exhibitor signage
• Ensure conference giveaways occur during the conference
• Conduct an Exhibitor Survey following the conference and provide Leadership Committee with constructive feedback
• Ensure Exhibitors are properly thanked
• Serve as the Point of Contact the day of the conference for Exhibitor questions and concerns
